Office Manager

9-6 M-F Must be outgoing, personable, friendly, organized, able to multitask, prioritize, and cross-sell. We have a blast, but get work done. Please email resume with subject line: RE: Office Manager Position Responsibilities include, but are not limited to (ignore the acronyms, but you get the idea): Responsibilities of Office Manager Daily o close and submit previous days’ ACA payments (when applicable) o check phone messages and return all phone calls the same business day o answer inbound phone calls within 3 rings o resolve all billing issues o take payments – in person & over the phone o answer all customers questions until they are satisfied (within reason) o open all mail and handle to completion o complete tasks assigned to you o respond directly to original sender of all emails forwarded to you past email into e-cms o call 10 potential clients, 5 current clients o cross-sell on every contact o review goals – both agency and personal Weekly o attend staff meeting o send birthday cards to any members of any household and prospects for birthdays occurring the next week o resolve all saved and incomplete applications for auto/home o schedule FFRs for Homeowners policies renewing w/in 60 days o call all at risk policies:   o policy expired/cancelled   o mo. Bill pending cancellation   o pending cancellations   o policy renewals  o call all customers with claims to make sure process is going smoothly (new/reopened claims)  o Check all life insurance New Business  o Resolve all pending o Resolve all in grace period o Resolve all ADRs o spend 1 hour learning new information (VU, books, classes, etc.) o review task list – for review during next staff meeting Monthly o Review Agency Goals and offer ways to efficient achievement of those goals Always o Positive attitude o WOW customer experience o Cross-sell on every contact o Deepen relationship with every customer contact – FORD in notes section of e-cms o Find areas of inefficiency and implement processes to resolve them o Follow up on every issue that comes through the agency until it is resolved entirely o If a message is left with someone, date out to call back o Confirm receipt of anything sent out or received by the agency via email, fax, voicemail, etc. Above all, our agency success and growth are based on our customers being so amazed by our service they refer us to others. Location: John's Landing Compensation: Pay starting at $10/hr. and will increase based on performance. Benefits to be discussed after 6 months.
